The full path, step by step.
Nothing here takes an afternoon. The first five steps are usually done before your coffee is cold.
Create an account
Sign up with your email address and a password. No credit card is required to start the trial.
You land directly in the workspace — there is no long onboarding questionnaire before you can create a document.
Set up your company details
Add your company name, address, VAT number, payment details and logo. These appear on every document you create.
Payment details are what the Swiss QR payment section on your invoices is built from, so this step is worth doing carefully once.
Add or import a client
Enter a client with a structured Swiss address and a contact person, or start typing the details directly on the document.
Spreadsheet import is planned. The supported fields and formats are still being confirmed.
Create an offer
Pick the client, add saved services or products, adjust quantities and check the totals and VAT in the live preview.
Document numbering follows your configured pattern, so offers stay in a clean sequence.
Convert it into an invoice
When the client accepts, turn the offer into an invoice in one step. Lines, prices and client details carry over unchanged.
The invoice keeps a reference to the original offer so the history stays connected.
Send the invoice
Review the PDF, then send it to the client by email directly from BüroPilot with the document attached.
The send is recorded on the document, so you always know what went out and when.
Track the payment
The invoice shows as open, due soon, paid or overdue. The dashboard totals what is outstanding across all clients.
Mark a payment as received when the money arrives and the totals update immediately.
Send a reminder if necessary
For overdue invoices, prepare a reminder with the correct invoice and client information, edit the wording and send.
Multiple reminder levels are available, and each reminder is stored in the document history.
